By registering for and participating in the event, Players acknowledge and agree to the practices described in this policy.

- Player: Any person participating in the event who is not the Host.
- Host: The person responsible for organising and managing the Games.
- Games: The games, challenges, and activities conducted as part of The Greatest Gameshow: Season 3.
- Venue Staff: Individuals responsible for managing or overseeing the event location.

We may collect the following information from Players during registration:
- Name
- Preferred Name (optional)
- Username
- Profile Picture
- Date of Birth
- Phone Number
- Instagram Profile Link
- Dietary Requirements
- Medical and Allergy Information
- Emergency Contact Details
- Free-text Responses provided in forms or questionnaires
- Invitation Code (used for registration verification)
How We Use Your Information
Personal information is collected for the following purposes:
- Registration and identification
- Communication before, during, or after the event
- Age verification where relevant
- Event organisation and Player management
- In-event display systems (e.g. usernames, profile pictures, scoreboards)
- Safety and emergency response
- Dietary planning
- Identity verification against invitation records
Free-text responses are used only for the purpose for which they were provided.
Access to Information
Access to personal data is restricted as follows:
- The Host has access to all collected information
- Venue Staff may access relevant information where required for safety or operational purposes
- Other Players may only access:
- Username
- Profile Picture
- Name and/or Preferred Name
No other personal data is visible to Players.
Data Storage
Personal information is stored using the following systems:
- Tally (form submissions)
- Google Sheets (event administration and records)
- Firebase (player-facing systems such as profiles and displays)
- Offline local storage on the Host's device
Reasonable steps are taken to ensure data is stored securely and accessed only by authorised individuals.
Data Retention and Deletion
- Most personal data will be deleted a few days after the event concludes from Tally, Firebase, and offline storage
- A Google Sheets record may be retained for future event planning and documentation
Players may request deletion of their personal data at any time via official communication channels.
Player Rights and Control
Players may request:
- Access to their personal data
- Correction of inaccurate information
- Deletion of their personal data
- Restrictions on optional data usage
Where applicable, Players may also edit certain information via the Player Portal.
Requests will be handled reasonably and in a timely manner.
Media and Public Use
Profile pictures are used internally within event systems (e.g. displays and game interfaces).
- Profile pictures will not be posted publicly as standalone content without consent
- Players may appear in event photos or recordings
- Players may be tagged in social media posts where applicable and may opt out via their social media settings or by request
Data Sharing
Personal data may be shared with:
- Venue Staff (for operational and safety purposes)
- Approved third-party services used to run event systems (including Tally, Google, and Firebase)
Personal data will never be sold or shared with external parties for commercial gain.
Data Security
Reasonable measures are taken to protect personal data from unauthorised access, loss, or misuse. While no system can guarantee absolute security, appropriate safeguards are implemented based on the nature of the event.
